SCOPE
The protection of Personal Information Act (POPIA) is data protection legislation that obliges organisations to deal with collecting,
processing, storing and destroying of personal information in a certain way t promote the constitutional right to privacy and the right
to access of information.

1. INTRODUCTION
   The Protection of Personal Information (“POPI”) Act requires us to inform you how we use and disclose personal information we
   obtain from you. We are committed to protecting your privacy and will ensure that your personal information is used appropriately,
   transparently and according to applicable legislation in order to protect your constitutional rights.
2. OUR BUSINESS
   Futuris Monitoring Systems CC is a security services provider specialising in technical installations and maintenance of intruder
   detection systems (alarm & surveillance systems) including remote monitoring of intruder detection systems and taking appropriate
   course of action such as responding to detections by means contacting a client and dispatching an armed response unit to the
   monitored premises. Other services include the placement of physical security guards at premises as and when required.
3. WHAT INFORMATION DO WE COLLECT?
   We collect your personal information mainly to provide you with access to the services and products of the providers with whom we
   have contractual agreements in place to ultimately serve you, our client.
   The type of information we collect will depend on the need for which it is collected and will be processed for that specific purpose
   only. Where possible, we will inform you what information you are required to provide to us and what information is optional. With
   your consent, we may also supplement the information that you provide to us with information we receive from other providers to
   offer you a more consistent and personalised experience in your interactions with us.
   When you elect to take up offerings from our contracted providers, they may also require additional information from you which will
   be subject to the same privacy regulations as we are subject to.
   We collect and process different types of personal information in the course of operating our business and providing our services to
   you. Personal information is collected directly from you by means of email, telephone, or face to face interaction with our
   representatives, which include:
    Basic personal information such as your name, surname & identity number;
    Demographic information such as your physical address;
    Contact information such as your telephone, cell and fax number, email address and postal address;
    Financial information such as payment related information and bank account details;
    Personal information provided to or generated by us in the course of providing our services which in some instances will
   include “special personal information”;
4. HOW DO WE USE INFORMATION?
   We will use your personal information only for the purposes for which it was collected and agreed to by you. This may include:
    Where you have given us your consent to use information i.e. when the information is necessary to enter into a contract
   with you and during the subsistence of the contractual relationship with you;
    Providing products and services to you to perform our agreed services to you including to carry out any obligation that
   arises from any agreement that we have entered into;
    Confirming and verifying your identity;
    For credit assessment and credit management;
    For the detection and prevention of fraud, crime, money laundering or other malpractice;
    Conducting market or customer satisfaction research. As we aim to grow our customer base, innovate and grow our
   service offerings, we use your personal information to provide you with information regarding our services as well as new
   products and developments;
    To notify you of any changes in our services, our terms of engagement and privacy notice;
    For audit and record keeping purposes;
    In connection with legal proceedings;
    Providing you with communications in respect of Futuris Monitoring Systems CC and regulatory matters that may affect
   you;
    In connection with and to comply with legal and regulatory requirements or when it is otherwise allowed by law;
    Where we, as a responsible party, have established a legitimate interest to process the information and our reasons for
   using the information outweighs the prejudice to your rights as a data subject;
    To enforce our agreement with you, to recover any payments due to us, including the recovery of such monies through the
   engagements with debt collection agencies and legal practitioners including the institution of legal proceedings for such
   recovery. The information may also be used to institute and defend any legal proceedings, by you or another third party,
   relating to the agreement;
    When we re-organise our business, either through a restructure, merger, acquisition or divestment, we may need to share
   and/or transfer some or all our your personal information with the relevant third parties as part of any due diligence
   process;
    In the instance where it becomes necessary to use your personal information to protect your or someone else’s interest;
5. DISCLOSURE OF INFORMATION
   We may disclose your personal information to our providers whose services or products may suit your needs. We have
   agreements in place to ensure that these service providers comply with our privacy terms and conditions.
   We may also share your personal information with, and obtain information about you from third parties for the purposes listed
   above.
   We may also disclose your information where we have a legal duty to do so in terms of applicable legislation, or where it may be
   necessary to protect our rights as organisation.
6. SAFEGUARDING YOUR INFORMATION
   The POPI Act requires us to adequately protect the personal information we hold and to avoid unauthorised access and use of your
   personal information. We will continuously review our security controls and processes to ensure that your personal information is
   secure.
   Access to your personal information is only permitted amongst our employees and agents on a need-to-know basis and subject to
   contractual confidentiality obligations. Our staff receive regular communications relating to POPIA and the role that they play when
   processing personal information.

If we need to transfer your personal information for processing or storage, we will ensure that any party whom we pass on your
personal information will treat your information with the same level of protection and required from us.

7. HOW LONG DO WE RETAIN YOUR INFORMATION?
   We will retain your personal information in line with prescribed legislation, if any, and if not the information shall be retained for as
   long as it is necessary to fulfil the purpose for which the information was collected for, and if applicable for any other purpose that is
   linked to the initial reason for collection.
8. YOUR RIGHTS TO ACCESS, CORRECT AND DELETE OF YOUR PERSONAL INFORMATION
   You have a right to access the personal information we hold about you. You also have the right to ask us to update, correct or
   delete your personal information. We will take all reasonable steps to confirm your identity before providing details of your personal
   information or making changes to your personal information.
   Furthermore your rights include the following:
    To be notified what personal information is being processed;
    To be informed with whom your personal information has been shared with;
    To request the deletion of your personal information i.e. if we have no lawful basis to have or retain personal information
   about you;
    To object to the processing of your personal information in the prescribed manner and on reasonable grounds (in
   particular you have the right to object against the use of your information for direct marketing purposes);
    If our processing actively is based on your consent you have the right to withdraw your consent at any time;
    To request the restriction of processing of your personal information;
    To request that we transfer your personal information to another party;
    The right not to be subject to a decision based solely on automated processing and which has a legal or other significant
   impact on you. In particular you have the right to obtain human intervention, to express your point of view, to obtain an
   explanation of the decision reached and to challenge the decision.
   You will not be required to pay any fees to access your personal information or to exercise any of your other rights relating to your
   personal information. We do however have the right in terms of the law to charge a reasonable fee if your request is unfounded or
   excessive. In the alternative to a fee, we may refuse to comply with an unfounded or excessive request.
